The Catering Gap
Woodbridge has one of the strongest banquet hall traditions anywhere in the region. The Italian-Canadian hall is close to an institution here — the rooms are large, the service is practised, and generations of families have marked every milestone inside them. Enquiries that reach us from Woodbridge almost never open with a complaint about the rooms.
They open with the food. A South Asian wedding menu, a Pakistani Halal dinner service, a Caribbean spread or a Middle Eastern mezze at four or five hundred covers is a different kitchen operation from the one most Vaughan halls are set up to run. Families end up either importing a caterer into a venue that resists the idea, or quietly compromising on the menu itself.
Palacio Event Centre is 32.7 km from Woodbridge — roughly thirty minutes free-flow, closer to thirty-eight in traffic — west along Highway 407 and down to Mavis Road. What sits at the end of that drive is a 30,000 square foot event centre whose in-house collections already include South Asian, Pakistani Halal, Caribbean, Middle Eastern, European and Gujarati pure-vegetarian cooking, and which permits an outside caterer if none of those is what you had in mind.
Why Vaughan Enquiries Convert
The room is not usually the argument for Woodbridge families. The kitchen, the flexibility and the range of the menu collections are.
South Asian, Pakistani Halal, European, Gujarati pure-vegetarian, Caribbean, Middle Eastern, holiday and prom menus, plus separate bar packages. The breadth is the point — the kitchen is not adapting to your event, it already cooks this way.
If your family has a caterer, bring them. Outside catering is a standing arrangement here rather than an exception negotiated case by case, and it is the single most common reason a Vaughan enquiry turns into a booking.
32.7 km, around thirty minutes when the 407 is clear and closer to thirty-eight when it is not. Most of the trip is highway rather than city crawl, so the timing is more predictable than the distance suggests.
Arriba takes 140 upstairs, Ibiza B 300, Ibiza A 450, and the combined Ibiza Grand Ballroom 900. Four sizes rather than one means the room is chosen after the headcount is known, not before.
Bar packages are their own line rather than folded into a per-plate figure, which makes it far easier to compare what you are actually getting when you are holding proposals from several venues at once.
Custom lighting and decor packages are offered in-house, and outside decorators work in these rooms regularly. The ballroom's 23-foot ceilings give tall installations somewhere to go instead of somewhere to hide.
The Drive
Distances are road routing to the venue. Free-flow times exclude traffic; the 407 is usually the more predictable half of this trip.

In the Kitchen
For most venue decisions the room comes first and the food is sorted out afterwards. When a family is planning a four-hundred-cover South Asian or halal dinner, that order reverses. The kitchen has to be sized and staffed for the service, the pacing of a multi-course South Asian menu is not the pacing of a plated European dinner, and a hall treating it as an accommodation rather than a specialty usually shows it somewhere around the second course.
The other half of the answer is the option not to use us at all. Because outside catering is permitted, the room and the food become two separate decisions rather than one bundled one. A dedicated coordinator manages the interface between your caterer and the building — load-in, kitchen access, service timing — so that flexibility does not quietly turn into your problem on the night.
The Food
The room matters, but for Woodbridge enquiries these are usually the photographs that get looked at twice.

Questions
32.7 km — about thirty minutes free-flow and roughly thirty-eight in traffic. The route runs west on Highway 407 and down to Mavis Road, so most of it is highway rather than city driving and the timing holds up reasonably well.
Catering, in almost every case we see. Vaughan is very well served for the Italian banquet hall tradition. Families planning a South Asian, halal, Caribbean or Middle Eastern menu at scale find fewer options locally and end up travelling for the kitchen rather than for the room.
Yes. Outside catering is a standing arrangement here, not a favour. Your coordinator handles kitchen access and load-in timing directly with your caterer, so bringing them in does not become something you are managing on the day itself.
South Asian, Pakistani Halal, European, Gujarati pure-vegetarian, Caribbean and Middle Eastern collections, plus holiday and prom menus and separate bar packages. Menu detail and tastings are arranged directly with the events team.
Arriba seats up to 140 on the second floor, with natural light and panoramic views. Ibiza B seats 300, Ibiza A seats 450, and together they form the Ibiza Grand Ballroom at up to 900 seated beneath 23-foot ceilings.
