Plenty of halls will take the enquiry, and then somewhere during the site visit it emerges that nine hundred means opening a second room, seating eighty people behind a partition with a monitor, or running dinner in two sittings.     The ballroom is engineered to split into two halls, and for a mid-size booking that is the whole point of it. At the top of the range it works the other way round: both halls open into one space beneath 23-foot ceilings, so the head table stays visible from the last row of rounds and nobody spends their evening watching a screen instead of the couple, the honouree or the stage.

    Palacio is a 30,000 square foot event centre at 3410 Semenyk Court in Mississauga. Most of what follows is not about the room, because at this scale the room is rarely what goes wrong. Timing is.     The Hour That Decides How the Evening Goes

    Doors is the hinge. If nine hundred guests are still moving through the foyer when dinner was meant to begin, every later item slides, and the floor opens forty minutes into borrowed time. A reception in the adjoining foyer buys most of that back: guests have somewhere to be that is not a corridor, and the room can be finished behind closed doors while they are occupied.

    Dinner is the second hinge. Ninety tables served properly is a sequence rather than a single event, and the useful planning question is not how good the food is — it is how long the last table waits for the first course. Speeches usually go between courses for precisely this reason. It gives the kitchen a clean run at the next service without leaving nine hundred people staring at an empty stage.

    Can you genuinely seat 900 in one room?

    Yes. The Ibiza Grand Ballroom's published seated capacity is 900, and it is reached with the ballroom opened rather than partitioned. The space is designed to divide into two halls so that a smaller booking gets a correctly sized room, but at the top of the range the division comes out and the entire floor is one room with one head table.

    How many tables is 900 guests?

    Ninety at rounds of ten, or seventy-five at rounds of twelve. Twelve to a table cuts fifteen tables out of the plan, which shortens seating announcements and reduces what your decorator has to dress. It also tightens the space between chairs, and guests notice that more than most planners expect. At this count, ten is the usual landing point.

    Do we have to run dinner in two sittings?

    No. What a count of 900 requires is a run sheet that respects the service, not a second sitting. Agree the course times with the venue in advance, decide where speeches sit relative to them, and then hold the schedule on the night.
