The Ibiza Grand Ballroom at Palacio Event Centre is built for exactly that combination — its published uses include corporate events, conferences and receptions, and it seats up to 900.

    Palacio is a 30,000 square foot event centre at 3410 Semenyk Court in Mississauga. Stage areas, integrated sound and AV support come with the building rather than arriving on a truck, and custom lighting and decor packages can be set to the programme instead of left flat across the evening.

    Planning It

    The Two Numbers Every Awards Programme Gets Wrong

    The first is category count. Twenty awards sounds like a brisk half hour until you time one properly: the announcement, the walk from a table to the stage, the handshake, the photograph, and forty-five seconds of thanks. Two minutes each is optimistic, and twenty categories is therefore forty minutes of stage time before a single host link, sponsor mention or video package. Organisations that cut categories or split them across the dinner reliably run better nights than organisations that do not.

    The second is the gap between dinner service and the programme. If the presentation begins while dessert is still moving, the room is half-watching. If it begins twenty minutes after service ends, the room has left for the bar and has to be recalled. The window is narrower than it looks, and it is the item most worth agreeing with the venue rather than assuming.

    A dedicated event coordinator is assigned to the booking, which for a corporate client means one point of contact holding the floor plan, the service schedule and the production timings together. Outside catering is permitted if your organisation works with a specific caterer, and the in-house menus span European, Caribbean, Middle Eastern, South Asian, Pakistani Halal and Gujarati pure-vegetarian for a mixed guest list.

    How many guests can you seat for a gala dinner?

    Up to 900 in the full Ibiza Grand Ballroom. Because the ballroom divides, an awards dinner for 450 can take Ibiza A and one for 300 can take Ibiza B, so the room matches the invitation list. Arriba upstairs seats 140 for a smaller recognition dinner or a sponsors' reception.

    Can we run a full production — screens, video, live sound?

    Stage areas, integrated sound and AV support are part of the venue, which covers most corporate award formats directly. For a heavier production with LED walls, multi-camera or complex lighting, bring your own production company and walk them through the room during a site visit so the load-in schedule is built against the actual space.

    How long should the awards segment run?

    Time it, do not estimate it. Twenty categories at two minutes each — announcement, walk-up, handshake, photograph, short thanks — is forty minutes before host links or video packages. Once those are added, most twenty-category programmes land between fifty and seventy minutes, and rooms start drifting well before the upper end of that.

    Can we hold a reception before the dinner?

    Yes, and for a gala it is close to essential. The adjoining foyer holds a drinks reception while the ballroom is finished behind closed doors, which both protects the reveal and gives you a buffer so the programme starts on schedule. Bar packages are available through the venue.

    Can we use our own caterer for a corporate gala?

    Yes. Palacio permits outside catering, and there are in-house menus covering European, Caribbean, Middle Eastern, South Asian, Pakistani Halal and Gujarati pure-vegetarian if you would rather keep catering with the venue. For a mixed corporate guest list the in-house range usually removes the need for a separate dietary sourcing exercise.
